we use VPN and the people who helped us set this up know the IP addresses. It occurs to me that they could, if they wished, logon to our system without us knowing and look at our confidential data. If I’m right, should we password protect our Work folders? If so, how do we do that?

There is an element of risk, but if the firewall sits there and is switched on within the VPN then I wouldnt worry.

You could use XP's permissions to set only specific user rights to the folders.
