I receive e Mails from an organisation apparently addressed only to me and in the body of the text start "Dear (myname)" I know the identical e mail is sent to many, and am curious how to do this myself to a similar list without sending individual e mails. I know how to use the BCC method, but this is more difficult. I use Outlook, W7 and have Word 2007 - maybe the use of mailmerge, but I dont know how to use it.

The organisation is most likely using a specialist bulk email program. As far as I am aware you would need to send individual e-mails using an individual address but it would be created using Word's mail merge MS Support

I have used the Word mail merge feature since 2002 and it is quite easy once you know how. The simplest way is to create your database in Excel and use that as your data source. For example, I have an Excel database of "Members" which includes separate fields (Columns)for first name, surname, address line 1, 2, 3, Town, postcode & e-mail address. Plus a few other fields admittedly which allow me to personalise the e-mails even more. Whether they have paid subscriptions and their dob etc

Using the Word mail merge wizard is a good start but it's not perfect. I never use the address block function and prefer to put each line of the address manually. Selecting the type of database when you confirm the data source can also be a bit of trial and error. Tick the box that will show all types and use OLE DB Files or Microsoft Excel Worksheets via DDE, then select the appropriate sheet in the Excel file.

Note that by default Word will select your default Outlook e-mail address. To change that temporarily make the correct sending e-mail the default. Note also that it is inadvisable to send more than 25 - 30 in each batch - your ISP is likely to mark you as a spammer or your Antivirus will kick in and block them. (Thinks it's a virus targetting your address book)Send 30 every minute or so.

If you need some more assistance post back and I'll run through the steps for Word 2007 with you.

Or you could try something like Listserv lite free edition. I don't use it so can't comment on how good it is.

Have a look at this external programme Your Mailing List Provider

I use this to send around 15,000 emails every so often. There's a free option of up to 1,000 emails. The customer service is excellent too.

Hmm, I see it didn't, so just Google YMLP.

Thanks for all the replies, which I shall study with interest. The organisation concerned is , I suspect, using some specialist software and the circulation is probably several thousand. It is a rather high security organisation so I suspect they have professional advice. However I shall look at the Mail Merge system in due course. I will mark as resolved for now. Thanks again.
